Optum Clinical Systems (formerly EMIS)
This is our main clinical computer system and is the electronic “medical record” for every patient at Westongrove. When you have an appointment, your doctor, nurse, or pharmacist securely records all your health information here, including your consultation notes, medical history, and test results. We also use this system to safely issue your prescriptions and view your past health details to ensure we give you the best possible care. On top of this, it helps us provide proactive healthcare, such as identifying patients who are due for an annual review or a flu jab, so we can invite you for the care you need.
One Advanced (Docman)
Every day, we receive hundreds of important documents from hospitals, specialists, and other clinics about your care (such as discharge summaries or referral letters). Docman is the secure system we use to manage all this paperwork digitally. It allows our GPs and admin team to review your letters, file them safely in your electronic medical record, and take any action needed. This ensures that when you speak to us, we have the most current information about your health.
Klinik Healthcare Solutions
Klinik is the “digital front door” to our practice. When you fill in an online consultation form on our website, this secure system gathers all the information we need. It helps us to safely understand your medical or administrative request so we can direct it to the best person in our team to help you, whether that’s a GP, a pharmacist, a nurse, or a member of our admin team.
Accurx and Hero Health (Patient Communication)
You will often receive text messages or emails from us. We use secure systems like Accurx and Hero Health to communicate with you quickly and efficiently. This allows us to send you appointment reminders, let you know when your test results are back, or send you helpful links with health advice directly to your phone. It’s much faster than post and means you get important information in a timely and convenient way.
Xon Surgery Connect & Surgery Assist (Our Smart Telephone System)
We understand that calling the surgery can sometimes be stressful, especially during busy periods. We use a state-of-the-art telephone system called Xon Surgery Connect to manage our phone lines. This “smart” system helps us handle high volumes of calls more efficiently, ensuring you get through to the right team member as quickly as possible.
A key feature of this system (often referred to as Surgery Assist) is the “Patient Callback” option. When our lines are busy, the system can hold your place in the queue for you and call you back automatically when a receptionist becomes available. This means you don’t have to wait on hold, saving you time and frustration. The system also securely records calls for training and quality monitoring to ensure we are always improving our service to you.
Xon Health Surgery Intellect
Westongrove have partnered with Xon Health to use a secure “AI Scribe” tool called Surgery Intellect. This technology helps our clinicians write notes, allowing them to give you their full attention instead of typing.
Your Privacy and Control:
- We will always ask for your permission (consent) before using the tool.
- The AI only creates a draft. Your clinician personally reviews and approves every note.
- The audio from your consultation is deleted immediately after use and is never stored.
This secure, NHS-approved tool helps us reduce admin and focus on what matters most: your care.
Iatro Practice 365 (Our Website Platform)
The website you are looking at right now is built on a specialist platform called Iatro Practice 365. This system is designed specifically for GP practices to ensure our website is secure, easy to navigate, and accessible to everyone, whether you are using a computer, tablet, or smartphone. It allows us to keep you up-to-date with the latest health news, practice announcements, and important policies, acting as your central hub for information about Westongrove Partnership.
DA Languages (Interpreter Services)
We believe that language should never be a barrier to receiving safe and effective healthcare. To support our patients who do not speak English as a first language we are partnered with DA Languages.
This service provides us with rapid access to professional, qualified interpreters in over 450 languages and dialects. Whether over the phone, via video call, or in person, these interpreters ensure you can explain your symptoms fully and understand your doctor’s advice clearly. This service is free for patients, ensuring that everyone in our community has equal access to the care they need.
Medi2Data (Medical Reporting & Subject Access Requests)
We frequently receive requests for medical reports from insurance companies and solicitors, as well as requests from patients who want a copy of their own medical records (Subject Access Requests). To manage these important tasks securely and efficiently, we partner with a specialist company called Medi2Data.
Using their secure digital system (known as eMR), we can process these reports much faster than traditional paper methods. This ensures that your sensitive medical data is encrypted and delivered safely to the authorised person or organisation, helping to speed up your insurance applications or legal claims while maintaining the highest standards of data privacy.
LineIn (Reception Support)
We know how frustrating it can be to wait in a queue on the phone. To help reduce waiting times, especially during our busiest periods, we work with a partner called LineIn. They provide a dedicated team of highly trained NHS-experienced receptionists who work remotely as an extension of our own practice team.
LineIn staff have secure access to our appointment system and follow our specific practice protocols. This means they can help you book appointments, signpost you to services, and answer queries just as effectively as our staff based in the surgery building. This partnership helps ensure your call is answered faster and you get the help you need sooner
